Batch Index Multiple Google Folders in a Google Sheet

This automation runs every document in a Google drive – or set of folders and sub-folders in a Google Drive – through an AI review, and then logs in a spreadsheet the document name, document type (.pdf, .doc, .csv, etc…), the folder navigation to the document, a link directly to the document, and a brief AI summary of the document contents- highlighting human names, entity names, dates, and other keywords.

Background: A small investigations firm was provided by their client a digital folder with hundreds of documents, some of which were sorted into sub-folders, some of which were not. The firm had no idea how many documents were in the folders, nor what information they contained. Reviewing all of the documents to discover what the folder contained was going to take days if not weeks. HeliosX created this indexing automation to tackle this task.

This automation indexed the entire client file – 498 documents, many of them over 50 pages in length – in less than an hour. This index enabled the firm to search for documents mentioning specific individuals, or dated within a certain range, or find specific contract documents, in hours, rather than days. They were able to more swiftly connect dots, follow leads, and make actual progress on the investigation, thanks to this workflow.
